What Indian companies actually pay for team offsites in 2026

A cost breakdown across 43 destinations, based on live-checked flight fares, current visa terms, and real hotel pricing.

Ask three HR teams what a team offsite costs and you will get three very different answers, all of them confident and none of them checkable. Budgets get built from a vendor's rough quote, last year's number plus inflation, or a spreadsheet someone inherited.

We priced 43 domestic and international destinations against live flight fares and current visa rules to answer the question properly: what does a corporate offsite actually cost per person in India right now? Some of what came out was expected. Some of it contradicts how most companies budget.

Distance drives the cost, not the hotel

For a 40-person team, two nights, four-star stay, flying out of Delhi:

Trip typePer personTotal for 40
Near-city, drivable (Neemrana, Lonavala)₹8,969₹3,58,776
Domestic flight (Goa, Jaipur)₹25,942₹10,37,664
Domestic premium (Kerala, Kashmir, Ladakh)₹39,636₹15,85,440
International (Bangkok, Dubai)₹58,428₹23,37,120

A near-city offsite costs roughly a third of a domestic flight trip at the same hotel star rating, and about 15% of an international one. That gap is almost entirely travel. The hotel is broadly similar; getting people there is not.

For context on the stay side, same 40-person domestic trip:

Star ratingPer person
2-star₹19,375
3-star₹21,838
4-star₹25,942
5-star₹35,586

Going from 4-star to 3-star saves about ₹4,104 a head. Going from a domestic flight destination to a drivable one saves about ₹16,972 a head. Most budget conversations spend their energy on the first lever.

Bigger teams cost less per person, not more

This runs against intuition, and against how a lot of offsite budgets get modelled. Same domestic trip, varying only headcount:

Team sizePer person
15 people₹26,568
40 people₹25,942
100 people₹25,315
200 people₹24,689

Per-person cost falls as the group grows, because hotels genuinely negotiate lower per-room rates on block bookings. The step-downs are real but modest: roughly 5% above 30 people, 10% above 75, 15% above 150. The practical implication is about how you present a budget. Finance teams reviewing a large offsite often assume cost scales linearly with headcount. It does not.

The visa line item almost nobody budgets for

Of the 22 international destinations we priced, 9 cost Indian passport holders nothing to enter: Bangkok / Pattaya, Phuket, Sri Lanka, Nepal, Kuala Lumpur, Maldives, Mauritius, Hong Kong, Almaty. The rest range from ₹2,100 to ₹17,300 per person.

DestinationVisa cost per person
Vietnam₹2,100
Bhutan₹2,400
Baku₹2,450
Siem Reap₹2,600
Tokyo₹2,700
Singapore₹3,000
Tbilisi₹3,000
Bali₹3,800
Seoul₹4,500
Muscat₹5,000
Dubai₹5,700
Abu Dhabi₹5,700
Istanbul₹17,300

On a 40-person team, Dubai's e-visa alone is ₹2,28,000 before anyone boards a flight. Istanbul is ₹6,92,000. That is not a rounding error, and it is the single most common line item missing from back-of-envelope international offsite estimates.

Two details trip teams up. Bhutan requires no visa for Indian passport holders, but charges a Sustainable Development Fee of ₹1,200 per night, so it scales with trip length rather than being a one-time cost. Istanbul is an outlier because the cheap e-visa is only available to travellers who already hold a US, UK or Schengen visa; everyone else pays for a sticker visa.

Flight fares: route competition beats distance

Domestic, round trip ex-Delhi:

DestinationRound trip
Rishikesh₹6,900
Mussoorie₹6,900
Jaipur₹7,000
Amritsar₹7,150
Mahabaleshwar₹12,850
Goa₹13,000
Wayanad₹14,400
Shimla₹14,500
Pondicherry₹15,500
Manali₹15,500
Munnar₹16,000
Coorg₹17,000
Mount Abu₹17,400
Udaipur₹17,500
Ooty₹19,500

Udaipur is the interesting case. It is closer to Delhi than Goa, but costs ₹4,500 more per person, because fewer airlines fly it. Route competition sets fares more than distance does.

Domestic premium:

DestinationRound trip
Sikkim (Gangtok)₹10,800
Kashmir₹12,200
Ladakh₹14,250
Meghalaya (Shillong)₹16,300
Kerala Backwaters₹21,500
Andaman₹25,500

Kashmir at ₹12,200 is cheaper to fly to than Goa at ₹13,000. It is routinely assumed to be a premium-cost destination and is not, on the travel leg.

International, round trip ex-Delhi:

DestinationRound trip
Nepal₹18,000
Singapore₹22,700
Almaty₹24,000
Istanbul₹24,300
Kuala Lumpur₹25,300
Muscat₹25,500
Abu Dhabi₹26,600
Hong Kong₹27,500
Vietnam₹27,600
Dubai₹27,700
Bangkok / Pattaya₹29,400
Phuket₹30,000
Siem Reap₹30,000
Sri Lanka₹30,600
Tbilisi₹31,400
Maldives₹35,700
Seoul₹37,600
Baku₹38,000
Bali₹42,200
Bhutan₹49,000
Tokyo₹58,000
Mauritius₹67,800

Bhutan at ₹49,000 is the anomaly. It is the closest international destination to India on this list, and among the most expensive to fly to, because only two airlines serve the route. Seat capacity, not distance, sets that price.

Three things this changes about budgeting

  1. Decide the distance tier first. It determines most of the number. Star rating, meal plan and activities are adjustments within a range the travel decision has already set.
  2. Price the visa before shortlisting. Bangkok and Dubai are within ₹1,700 per person on flights, and ₹5,700 per person apart on visa.
  3. Check route competition, not just distance. Udaipur over Goa, Bhutan over Bangkok, Kashmir under Goa. The assumption that closer means cheaper breaks often enough to be worth verifying per destination.

Methodology

Flight fares and vehicle rental rates are checked live against current listings, not estimated. Train fares scale with actual origin-to-destination distance using a base-plus-per-km model reflecting how Indian Railway pricing works over short versus long hauls. Five-star stay rates are calibrated from a real dataset of Indian metro hotel pricing by star rating. Venue and stay rates step down 5-15% for groups over 30, matching how hotels negotiate block bookings.

Remaining stay, activity and facilitator rates are directional market estimates, not vendor-confirmed quotes. All figures assume departure from Delhi/NCR; origin city changes the travel component. Every number in this report is computed by the same engine behind the free calculator below.
