The honest answer is: it depends heavily on how far the team travels. Below is a real, line-item comparison across the three distance tiers HR and admin teams typically choose between - a drivable near-city getaway, a domestic flight destination, and an international offsite - all computed the same way our free calculator does, for a 40-person team over a 2-night trip.
Each figure covers travel (coach or flights), the hotel stay with meals, visa cost where it applies, and an 8% contingency buffer. A lower price you see elsewhere usually leaves at least one of those out.
What actually drives the cost
Travel is usually the biggest swing factor, not the hotel. A near-city offsite can run on buses or self-drive cars at a fraction of a flight-based trip, which is why it stays the cheapest option even at a similar hotel star rating. Group size also matters more than most people expect - hotels genuinely negotiate lower per-room rates for block bookings over 30 people, so larger teams cost less per person, not more.
Domestic vs international
International costs more, and by more than most teams expect: the baseline above is about 2.3 times the domestic figure, and even the cheapest international destination we price, Nepal, is about 1.8 times Goa. Airfare is the bigger part of the gap - about ₹16,400 a head against ₹13,680for the stay and meals. Visa-free destinations like Thailand or Nepal at least keep the visa line at zero, and destinations that charge a per-person e-visa fee (UAE, Vietnam, most of Central Asia) add a predictable, budgetable line item rather than a hidden one.
What a bigger team does to the per-person cost
Most people expect a big group to unlock a big discount. It does not. Here is the same Goa trip priced four times, changing only the number of people - and the per-person figure barely moves:

Ten times the people, and the cost per head falls by about 5%. Block booking earns a modest rate reduction, not a step change, because the expensive parts of an offsite - a seat on a flight, a bed, three meals - do not get cheaper in bulk the way a product does.
The practical consequence is that you can budget per head and multiply. If 25 people cost roughly ₹26,000 each, 60 people will cost roughly ₹26,000 each too. Plan the headcount you actually want rather than chasing a volume discount that is not there.
What teams forget to budget
Four line items account for most of the gap between an approved budget and the final invoice:
- Airport and inter-city transfers. A hotel quote covers rooms. Getting 40 people from the airport to the property, and between venues, is a separate cost that rarely appears in the first quote you see.
- Meals outside the hotel plan. A room rate with breakfast leaves lunch and dinner for two days unaccounted for, which for 40 people is not a rounding error.
- Conference and AV. If any part of the offsite is a working session, the meeting room, projector and sound are usually billed separately from accommodation.
- Visa costs on international trips. Predictable and budgetable, but per person - so a UAE or Vietnam e-visa on a 40-person trip is a line worth adding before you present the number, not after.
