If you are comparing against a lower price, check three things: whether it includes flights, the hotel star rating, and how many nights it covers. A “from” price usually leaves at least one of them out.

Why Goa costs what it does

Which decision actually moves the number

Two other levers are worth knowing before you start negotiating. Dropping from all meals to breakfast only saves about ₹1,785 per person - real money, but it also means 40 people finding lunch and dinner themselves for two days, which is usually a worse offsite. And a third night costs ₹5,951 per person, against an average of ₹12,971 a night on the two-night version - because the flight does not repeat, only the stay and meals do. If the agenda is tight, extending is usually better value than cutting the hotel.

What a Goa quote should include

A hotel quote covers rooms. An offsite needs more than that, and the gap between the two is where approved budgets go wrong. Before you compare two vendors, check both have priced:

• Airport transfers. Dabolim and Mopa are both a long way from most beach belts. Moving 40 people twice is a coach cost, not a taxi cost.
• Meals not in the room rate. A quote with breakfast leaves four meals unaccounted for on a 2-night trip.
• Meeting space and AV, if any part of the offsite is a working session. Usually billed separately from accommodation.
• Activities. A gala night, a beach session or a CSR half-day are priced per head and rarely appear in a first quote.
