How we price a corporate offsite

By Amit, who runs Offistrip, a corporate travel and MICE company in India.

Every number on this site traces back to one of the tiers below - nothing is typed in as a guess.

Every price the calculator produces falls into one of four tiers, and the tier is never hidden. This page states plainly what each one means, so a number on any page here can be checked rather than taken on faith.

1. Live-checked

Every named destination's flight fare, and bus, tempo-traveller and self-drive rental rates, are checked by hand against Google Flights and Google Hotels and recorded with the date they were checked. Nothing in this tier is estimated - it reflects a real fare or rate that existed at the time it was checked.

2. Calibrated from real data

Five-star hotel stay rates are calibrated from a real dataset of Indian metro hotel pricing by star rating, rather than checked listing by listing. This is a step below live-checked - it reflects a real, current pattern in the market rather than one specific rate.

3. Modeled from a real relationship

Train fares scale with the actual origin-to-destination distance you enter, using a base fare plus a falling per-kilometre rate fitted to how Indian Railway pricing actually works over short versus long hauls - not a flat number per tier. Venue and stay rates step down 5 to 15 percent for groups over 30 people, matching how hotels negotiate real block bookings. Road distance and drive time are derived from coordinates, not a live routing API, and are labeled as estimates on the pages that show them.

4. Directional estimate

Stay rates outside the five-star tier, activity pricing and facilitator fees are directional market estimates, not vendor-confirmed quotes. They are included because leaving them out would understate the real cost of an offsite, not because they carry the same certainty as a checked flight fare. This is the one tier where a real quote can move the number meaningfully.

The full text, verbatim

Every named destination's flight fare, plus bus/tempo-traveller/self-drive rental rates, are checked live against current listings, not estimated. Train fares (3AC) scale with your actual origin-to-destination distance rather than a flat per-tier rate, once you've entered your city - modelled with a base fare plus a falling per-km rate to match how Indian Railway pricing actually works over short vs. long hauls. 5★ stay rates are calibrated from real Indian metro hotel pricing by star rating. Venue & stay rates step down 5–15% for groups over 30 people, matching how hotels actually negotiate block bookings. Remaining stay, activity and facilitator rates are directional market estimates, not vendor-confirmed quotes. Actual pricing varies by availability, season and negotiated rates - use this to set a budget ceiling, then get an exact quote.

How often it's refreshed

There is no live pricing API behind this yet, so refreshes happen in research passes roughly every four to six weeks rather than continuously. That means every figure represents a recent market rate, not today's bookable price - which is exactly why the calculator frames its output as a budget ceiling to negotiate a quote against, not a quote itself.

Who checks the numbers

Amit, who runs Offistrip and has priced these trips for a living, does the research passes and sets the tiering above. The goal is a number that survives a finance review, not one that wins a sales comparison - which is also why the site says plainly where it is the wrong answer for a given trip, on the pages where that's true.

Common questions

Are Offistrip's prices real or estimated?
Both, and the calculator is explicit about which is which for every line. Flight fares and vehicle rental rates are checked live against real listings, not estimated. Five-star hotel rates are calibrated from a real dataset of Indian metro pricing. What remains - other stay tiers, activities, facilitator fees - is a clearly labeled directional market estimate, not a vendor-confirmed quote.
How often is the pricing data updated?
In research passes roughly every four to six weeks, done by hand against Google Flights and Google Hotels - there is no live pricing API behind this yet. That means the numbers represent recent market rates, not today's bookable price, which is why the calculator's own result screen calls itself a budget ceiling to negotiate against, not a quote.
What does the calculator not include?
It is a planning budget, not a booking engine - it does not check live inventory or hold a rate. Vehicle, activity and facilitator pricing outside the live-checked and calibrated tiers is a directional estimate. For an exact, bookable number, the next step is a quote from a destination management company through Offistrip.
Why does the group-size discount only apply to venue and stay?
Because that's the only part of the price a hotel actually negotiates on block bookings - a 5 to 15 percent step-down for groups over 30 people, matching how hotels price real group business. A flight seat costs the same whether fifteen people fly or two hundred, so the travel line does not get a group discount, and pretending it did would overstate how much a bigger team actually saves.
