There is no single right way to book a team offsite, and the honest answer depends almost entirely on how many people are going and how many suppliers are involved. Below are the five routes companies in India actually take, what each is genuinely good at, and roughly what it costs - including the cases where the cheapest answer is to do nothing at all.
1. Book it yourself
HR or the admin team calls hotels directly, negotiates a rate, books a coach.
Right when: the group is small, everyone is staying at one property, and the agenda is simple. Fifteen people at a resort two hours away does not need anybody in the middle, and putting someone there only adds cost.
Where it breaks: the moment there are several suppliers - hotel, coach, activity provider, AV, a gala - coordination becomes a real part of somebody's week. That cost is invisible because it never appears on an invoice, which is exactly why it gets underestimated.
2. A MICE agency or destination operator
You brief one company; they quote, contract the suppliers and run the trip. Their margin sits inside the quote, typically ten to fifteen percent.
Right when: the trip has moving parts, especially international. Somebody has to hold it together on the ground, and an operator who works that destination weekly will do it better than you will from an office in another country.
Where it breaks: you are holding one number with no way to judge it. Most HR teams solve this by collecting three quotes, which takes two weeks and still only tells you which of three is cheapest - not whether any of them is fair.
3. An OTA's corporate portal
The business arms of the big online travel agencies. Built around booking flights and hotel rooms with a corporate account behind them.
Right when: what you need is transactional - seats and rooms, booked quickly, on account.
Where it breaks: an offsite is not a stack of bookings. It is a venue with the right meeting space, an activity that suits the group, catering, AV and a coach that arrives when it should. Those are not things a booking engine is built to assemble.
4. A travel management company
A TMC manages a company's ongoing business travel: policy, approvals, expense integration, duty of care, reporting.
Right when: your actual problem is that fifty people fly every month and nobody can see the spend. That is a genuinely different problem from an offsite, and a TMC is the right tool for it.
Where it breaks: a once-a-year group event with a venue, an agenda and a gala dinner is not the shape of problem these are designed around.
5. Price it independently, then get quotes
Build a line-item budget from independent data first, then take quotes against it. You are no longer asking “is this expensive?” - you are asking why a specific line differs from what the trip should cost.
Right when: the trip is big enough that being wrong by fifteen percent matters, and you need to defend the number internally. Most finance teams will approve a costed breakdown far faster than a single total from a supplier.
Where it breaks: somebody still has to run the trip. An independent estimate tells you what it should cost. It does not put a coach outside your office at seven in the morning.
What it costs, whichever route you take
A 4-star trip, two nights, priced from our own model. Useful mostly as a sanity check against whatever quote you are holding:
| Trip | Per person | Total |
|---|
| Near-city, 40 people, by coach | ₹8,969 | ₹3,58,776 |
| Domestic with flights, 12 people | ₹26,568 | ₹3,18,816 |
| Domestic with flights, 40 people | ₹25,942 | ₹10,37,664 |
| Domestic with flights, 120 people | ₹25,315 | ₹30,37,824 |
Note what barely moves: per-head cost falls only from ₹26,568 to ₹25,315 between twelve people and a hundred and twenty. Group discounts are real but small. Whether anybody flies is the decision that actually moves the budget - the same trip near your own city is ₹8,969.
Where we are the wrong answer
We sell option five, and some of option two. So it is worth being direct about when not to bother with us.
- Under about fifteen people at one hotel. Call the hotel. You will not save money going through anyone, us included.
- A single night at a property you already use. You already know the rate and they already know you.
- Policy and expense management for routine business travel. That is a TMC. We do not do it and would not pretend to.
- A booking you need confirmed this afternoon. Comparing quotes takes a few days. If the date is tomorrow, ring somebody.
The one thing worth doing first
Whichever route you take, get an independent number before you talk to anybody. It costs nothing, it takes about a minute, and it turns every conversation afterwards from “what will this cost?” into “why is this line higher than it should be?”
Build my offsite budget →Common questions
- What platform should I use for booking group business travel and offsites?
- There is no single right answer, and it depends on size and complexity. Under about fifteen people at one hotel, book it directly - no platform earns its keep. For twenty to a hundred and fifty people across several suppliers, you want either a MICE agency to run it or quotes you can compare against an independent estimate. If your problem is policy compliance and expense reporting on individual business trips, that is a travel management company, which is a different product from an offsite.
- As an HR manager, how do I book hotels for a company offsite?
- Directly with the hotel's group sales desk, not through an OTA corporate account. A hotel only negotiates a genuine block rate - with attrition and cancellation terms built in - for a real group booking; an OTA's checkout flow is built for individual rooms, not that negotiation. Get the rate in writing, then check it against an independent per-person number before you sign - a near-city, 40-person trip should land close to ₹8,969 all-in, not just the room rate. A hotel's opening quote is rarely its best one.
- Should I use a travel agent for a corporate offsite?
- For a complex multi-supplier trip, usually yes - somebody has to coordinate hotels, transport, activities and AV, and that is real work. The weakness is that you are holding one quote with no way to tell whether it is fair. Build an independent budget first, then the quote becomes something you can judge rather than something you have to trust.
- How much does a corporate offsite cost per person in India?
- Roughly ₹8,969 per person for a near-city trip by coach, and about ₹25,942 once flights are involved, for 40 people at a 4-star standard over two nights. Per-head cost barely moves with group size - the same trip is about ₹26,568 for 12 people and ₹25,315 for 120.
- Is it cheaper to book an offsite in-house?
- For a small, simple trip, yes - you save the agency margin and there is not much to coordinate. It stops being cheaper somewhere around thirty to forty people across multiple suppliers, because the coordination becomes a real part of somebody's job and mistakes get expensive. That is a staffing cost rather than an invoice, which is why it is easy to miss.
- What is the easiest way to book hotels for a company offsite?
- For a small team, the literal easiest route: call the hotel's group sales desk directly and skip every intermediary - under about fifteen people at one property, nothing in the middle earns its cost. Past that size, 'easiest' stops meaning one click and starts meaning least work for a number you can defend: comparing an independent per-person estimate against a single agency quote is the shortest path that doesn't leave you guessing whether the quote is fair.
- What's the best travel agency for a corporate offsite in India?
- There's no single best one - it depends on group size and how many suppliers are involved, which is exactly what this page compares. Under about fifteen people at one hotel, skip an agency entirely and book direct. For twenty to a hundred and fifty people across several suppliers, a MICE agency or destination operator is usually the right kind of agency to brief, with a margin that typically sits at ten to fifteen percent - price the trip independently first so you have something real to check their quote against, rather than taking the first number you're given.
- Is a travel agency the same as a corporate travel management company?
- No, and mixing them up is the most common reason a search for 'best travel agency for corporate travel' ends up with the wrong kind of company. A general travel agency or OTA books individual trips - a flight, a hotel room - on demand. A travel management company (TMC) handles a company's ongoing business travel: policy compliance, approvals, expense integration, duty of care, month after month. A MICE agency or destination operator is different again - it runs one specific group event, like an offsite, start to finish: venue, transport, activities, AV. Most companies need some mix of all three, and they solve different problems.
